Using Computers for Business Automation

By Kazu Oda

It was hard to imagine how my parents used to run our family owned business without computers 20 years ago. I can remember coming into to the office, to visit my father, and seeing the back office stacked with papers. I can remember how, if the staff were not careful, orders would go missing.

That was always his biggest complaint. Now that we use computers for business we do not run into the same situations. Nowadays, our biggest complaint is that we are not open late enough to handle all the orders that come in during the day.

After hearing him complain for years, after graduating from college, I made it my goal to help eliminate this problem. Upon entering the family business, I noticed that most employees were not using their computers for business; instead they were just being used if needed. I was able to create a few basic programs that enabled the front office, the warehouse and sales staff to use their computer for business. I basically brought the company into the 21st century.

In doing so, we were able to save the company enough capital to avoid having to lay anyone off. We created an intranet, where upon entering any order they were simultaneously sent directly to the warehouse and the salesperson.

In today's economy, we had to come up with a way to cut cost. We did not want to lay people off. We are a small company and are more like a family. In order to cut cost, we decided to go completely paperless.

I basically brought the company into the 21st century. They were now able to enter all orders directly into their computer. This would automatically create a log where you could than track any order.

From there, the salesperson will be able to follow with the client and the warehouse. Installing the automated operational programs and procedures has been very instrumental in cutting costs, and saving our business.
